Adding New Properties using Import Properties Function


How to accurately import a group of properties using an excel spreadsheet.

Our first step is to assemble the Data to a spreadsheet. 

When you have both the address and coordinates you will create a spreadsheet with the following headers:

  • Name
  • Address
  • Latitude
  • Longitude
  • Type

Name

  • Use the standard naming convention your company has decided on.

Address

  • Use the full street address of the location.
  • Enter all addresses with this format
    • Street number space street name comma space city comma space state abbreviation space 5-digit zip
    • XXX Main St, Anytown, AA 12345
  • Proofread this column closely
    • Common errors in this column include miss-spelled cities and streets, extra spaces, and extra commas after the State Code

Latitude and Longitude

  • Update the format on these columns to 7 digits past the decimal
  • Highlight both columns from the top and right click to bring up the menu.
  • Click format cells and select number.
  • Update the decimal places to “7”
  • Common errors are inverting the location (Longitude/Latitude), incorrect spelling, shortening to Lat/Long, and entering both coordinates together

Type

  • Enter in the property type you are uploading.
    • This is previously defined in set up – templates – property details
    • This will determine which template the properties will be built on
  • Common errors include incorrect spelling, spacing (if two-word type), or uploading multiple property types in a single upload. We suggest doing only one type at a time.

 

Once you have your workbook formatted to these 5 columns and have corrected all formatting it is time to save and start the upload process.

The software will support the following extensions: .xlsx, .xls, .csv, .ods so make sure to save in one of those formats.

 

To import the properties:

1. Main Menu--> Admin Tab--> Properties


*We suggest you start with a small sample selection of about 5 to test your spreadsheet first.*


2. Select Import Properties on the right and click “upload Spreadsheet”

3. Select your spreadsheet and click "Open."

4. Your spreadsheet should upload in the window below to preview. 

5. Click on "+Advanced"

6. Make sure Default Status is set to active.

7. Toggle Geo Locate or Use Coordinates to “Coords” and check that the Reference location below now says cords.

8. Click "Import" 

Your properties are importing, do not navigate off of this window until it closes on its own.  Depending on your internet connection and speed as well as the number of properties you are uploading, this may take a moment. 

When the import properties window closes, your properties have been added.  You can view them in the list of Internal Properties. 

Now it is time to check your work:

1. Main Menu--> Properties. Check to make sure that the pins for the properties are showing in the correct location on the Heat Map. 

2. If all of your pins look right, lets navigate back to the admin properties page and make sure they all uploaded correctly.

3. Use the search bar at the top to sort through the uploaded properties. 

  • Make sure you don’t have any doubles from a previous upload (check the creation date)
  • Double check all properties that are uploaded against what is on your spreadsheet.
    • Look for doubles due to naming conventions or changes to street names like road spelled out vs Rd that the system won’t pick up.
